Conversion rates
As a general agreement in HIT and for the common understanding:
The application form is always in Euro;
From reporting onwards different currencies can be used.
In principle there is an automatic connection to the exchange service of the European commission: https://ec.europa.eu/info/funding-tenders/procedures-guidelines-tenders/information-contractors-and-beneficiaries/exchange-rate-inforeuro_en. Rates are updated monthly on the first day of the month.
When a programme installs a fresh installation of Jems, it might be that the exchange rates are not loaded yet or there might be other reasons why the rates could not be loaded. The programme user with the privileges to the section can then navigate to the Programme setup, section Conversion Rates (see below) and manually load the conversion rates by clicking the “Load conversion rates button”. If the conversion rates are loaded successful one will see the Date being updated as in the example below (clicked in May 2022).

Technical implementation:
The exchange rate is available at the first day of the month by InfoEur, therefore Jems takes the data at the very first seconds of first day of each month (i.e source-code: midnight punctual). Jems has a embedded service that pulls the trigger (no external scheduler dependence, nevertheless the OS date shall be exact).
If Jems is not live during first seconds of first days of month (or InfoEur webservice is down) this requires manual trigger (as explained in this page).
